Subledger Status

Overview

This screen is the key element in the TRX accounting month end close procedure and can also be used as a daily check to spot any problems as they happen. 


The Subledger Status screen displays information from the 5 posting modules (AR/AP/INV/Banking/Project Accounting). The information is date specific, if you leave the date as today you will get the most recent changes, but if you change the date it will give you information as of the end of the day for that date. It also provides a quick look at the inventory accrual and lists the reversing entry status for each module. Under each of the five posting modules you are given the following information:

  • Un-posted - Journal entries that are un-posted for the current period.

  • Un-posted Prior - Journal entries that are un-posted for prior periods.

  • A/R Balance - lists the module balance derived from reporting.

  • G/L Balance - Gives the general ledger balance for the module.

  • A/P Proof - Difference between the module reporting balance and the General Ledger Balance.

  • Journal Entries - Any journal entries made directly to the sub-ledgers.

The Subledger Status screen will also allow you to post the modules directly from the screen by using the posting buttons  . The 3 lights next to each posting module represent the status of each module: Green, Yellow and Red.

  • Green - The module is balanced and ties out.

  • Yellow - The Subledger balance and the G/L balance do not tie out.

  • Red - There is a journal entry in the general ledger that posts directly to a sub-ledger account.

To Post modules for prior periods you will need to go to the G/L > Special Functions > Period maintenance and make sure the period you would like to post is "open" and the "current period"
