Create Project in TRX with AQ JSON file

This process replaces the AQ Import screen under P/A.

Import Project

  1. Open the Project Import screen

    1. API>Auto Quotes>Project Import

  2. Select the file from your computer

    1. Hit “Browse” button

    2. Find file folder

    3. Double-click on file

Review Project Totals

Review the Project to make sure that the totals are correct

  1. Double Check Project Totals for accuracy

    1. Review Materials, Freight, Install, Tax and Contract Totals

  2. Review line items for accuracy

    1. Check Line, model, and item numbers, as well as quantities units and pricing

Setup New Items

If items are being created by the file, you will need to review and update the settings for the items before processing the order to ensure accuracy.

  1. Check if there are any items being created

    1. New Items” field will be > 0

  2. Open the “AQ Import New Items” screen

    1. Click on “Review” button next to “New Items

  3. Setup the items accordingly

    1. Category and Class fields

    2. Tangible and Obsolete when Out of stock checkboxes

    3. Serialized and Receive\Ship checkboxes

  4. Save Changes

    1. Hit Save button

    2. Hit “F10

  5. Exit screen

    1. Hit “Red Door”

Fix Project Errors

If there are any errors with your items (duplicate line #'s, Missing Manufacturer, Missing Xref), then you will need to review and fix before you can process your project.

  1. Check if there are any errors in your project

    1. Error Count” field will be > 0

  2. Open the “AQ Import Errors” screen

    1. Click on “Review” button next to “Error Count

Manufacturer Errors (tab)

This tab opens by default and allows you to fix the Missing Manufacturers and Cross-Reference.

Correct Missing Manufacturers

If an item on the project file had a Manufacturer that didn’t exist in TRX, you will need to create it here.

  1. Enter the Manufacturer name

  2. Enter a Vendor Xref

    1. This is the TRX Vendor associated with the AQ Manufacturer

  3. Create the Manufacturer/Cross-reference

    1. Hit the “Add Mfr” button

Correct Missing Cross-Reference

If the Manufacturer on the project file doesn’t have a cross-reference, you can correct that here. This is not required to create the Project.

  1. Enter the Vendor Xref

    1. This is the TRX Vendor associated with the AQ Manufacturer

Item Errors (tab)

This tab allows you to fix Invalid Units of Measure, Duplicate or Missing AQ Line Number, and Discontinued Items.

Invalid Unit of Measure

If the UOM on a Project item doesn’t exist on the item in TRX, you will need to correct it here.

  1. Select how you want to resolve

    1. Select one of the options from the dropdown

    2. Create Project UOM – This will create the UOM on the project

    3. Use Exiting UOM – Use the UOM already in TRX

  2. Confirm the UOM and Qty

  3. Create Unit of Measure

    1. Hit the “Update” button

Duplicate or Missing AQ Line Number

If the Project file has duplicate AQ line #'s, you will need to correct them here.

  1. Review the duplicates

  2. Decide which one you want to Change

  3. Set the new AQ Base line and AQ Sub Line

  4. Update the record

    1. Hit “Update” button

Discontinued Items

If Discontinued items are on a project imported into TRX, you will need to either remove them from the project or re-activate the item. Removing a base item will remove all of it’s accessories.

Removing Discontinued Items

This will remove the item from the project.

  1. Hit “Remove” button next to the item

Activating Discontinued items

This will mark the item as Active in TRX.

  1. Hit “Activate” button next to Item

Remove Discontinued Base Item, Without Removing Accessories (Workaround)

TRX does not allow a discontinued item on the project, and you can’t remove the base item without removing its accessories. With a few extra steps, you can save needing to re-export the project using this workaround.

  1. Activate the Base and Sublines

    1. Hit “Activate” button next to Items

  2. Finish setting up Project

  3. Process to create Project

  4. Create Internal Change Order

    1. Mark for Original Contract

    2. Replace Discontinued item with correct item

    3. Process Change Order

  5. Mark item as discontinued again

    1. Open Item (INV>Item Query/Change)

    2. Set Status dropdown to discontinued

Process Project

Once the New Items are setup properly and the errors have been corrected, we are ready to finalize the details on our project and process.

Enter/Confirm Project Details

Now that line items are cleaned up, we can enter the Customer and Project information.

  1. Select the Customer

    1. Enter Customer # or hit F9 to find it

    2. Hit Enter to load details/defaults

  2. Confirm the Customer details

  3. Confirm Project details

  4. Process the Project

    1. Hit “Process” button
