Overview

This guide demonstrates how to enter, transfer, refund, and reverse Deposits for Sales Orders under the ORD module. Some functions also utilize AR and POS.

ORD

This section covers screens used under ORD.

Enter Deposit As Order is Created (pre-process)

Adding Deposits to Sales Orders is easy, but how you enter it will depend on the Order status. If your Order hasn’t been processed yet, then you can use the “Deposits” Tab on the New Order Entry screen to fill out the details. Once the Order is processed the Deposit is created.

Enter Deposit After Order is Created (Post-Process)

Once the Order is processed, you will notice that you can no longer fill out the “Deposits” tab to create Deposits. You will need to either create it under A/R or POS.

A/R

This section covers screens used under A/R.

Create Deposit Under A/R

You can apply a Deposit under A/R using the “Deposits” screen, under A/R>Deposits. Here, you can enter a new deposit, transfer an existing one, apply a Credit Memo as a deposit, and print Deposit related reports.

Transfer Deposits Under A/R

You can Transfer Deposits to another Order, to the Customer’s Account (no document), or to Credit (Creates credit on account). For the full guide, see Transfer Deposits.

Reverse or Refund Deposit

To reverse the Deposit entirely, we can just enter a Refund for the Deposit.

  1. Go to the Refund screen

    1. A/R>Refunds

  2. Enter Customer Number

  3. Change/Confirm Refund Date

  4. Enter Reference

    1. This will be on the transaction in Customer history

  5. (Optional) Refund through POS - checkbox

    1. Use to run the transaction through a register

  6. Enter Terms

  7. If you did step 5, enter your POS Register
