Transfer Deposits

Overview

Deposits can be transferred to another sales order from the same customer or to the customer’s account in the form of unapplied cash.  Once it is unapplied cash, it can be applied to any open document by entering a zero dollar check on the Cash Receipts Entry screen.

Transfer Types

  1. To Order - Transfers from one Order to another

  2. To Account - *This will NOT create a credit document* Transfers amount to the Customers account. It will be available for refunds and transfers to other orders, but 

  3. To Credit - Transfers amount to an open Credit on the Customers Account. 

To Transfer a Deposit To Order

This will transfer the deposit from one order to another. This will only work between Orders for the same customer. See Transfer Deposit(s) between Customer Accounts to move between accounts.

Step-by-Step

  1. Go to AR > Deposits | Transfer Deposits tab

  2. Choose "To Order" from the transfer type Dropdown

  3. Enter the sales order you are transferring to

  4. Press enter.  This will display all of the outstanding deposits for the Customers account

  5. Enter the transfer amount next to the documents you want to draw from

  6. Click on the Lightning Bolt to process

To Transfer a Deposit to Account

This will remove the deposit from the order and leave it open on the account. This will NOT create a credit.

Step-by-Step

  1. Go to AR > Deposits | Transfer Deposits tab

  2. Choose "To Account" from the transfer type dropdown

  3. Enter the transfer amount next to the documents you want to draw from

  4. Click on the Lightning Bolt to process

*NOTE: To Account does not create a Credit document. That is now "To Credit"

To Transfer a Deposit to Credit

This will convert the deposit to an open Credit on the account

Step-by-Step

  1. Go to AR > Deposits | Transfer Deposits tab

  2. Choose "To Credit" from the transfer type dropdown

  3. Enter the transfer amount next to the documents you want to draw from

  4. Click on the Lightning Bolt to process

Troubleshooting

If you get an error trying to move the deposit to a Credit, you will need to refund the deposit and enter a Credit on the account.

  1. Reverse the Deposit

    1. Refund the Deposit

      1. A/R>Refunds

  2. Enter a New Credit memo for the Customer

Transfer Deposit(s) between Customer Accounts

You can’t transfer Deposits from one Customer Account to another. You need to clear the deposit from the wrong account, and enter a new Deposit for the correct one.

Step-by-Step

  1. Reverse the Deposit on the wrong account

    1. Refund the Deposit

      1. A/R>Refunds

    2. Clear amount without Refund

      1. Transfer Deposit “To Credit”

      2. Create a Debit for the amount of the Credit

      3. Apply them together with a Zero Dollar Cash Receipt

  2. Enter a New Deposit for the Correct Customer/Order

    1. A/R>Deposits
